Types of messages sent: Axym sends transactional SMS messages on behalf of our client medical practices. These messages include appointment booking confirmations, appointment reminders, rescheduling links, and post-call follow-up summaries. We do not send promotional or marketing messages via SMS.
Consent and opt-in: SMS messages are only sent to individuals who have initiated contact with a medical practice by calling the practice's phone line or submitting an inquiry through the practice's website or web form. By initiating contact, the individual consents to receive transactional SMS communications related to their inquiry or appointment.
Opt-out: All SMS messages include instructions to opt out. Recipients may reply STOP at any time to stop receiving messages. Reply HELP for assistance. Once a recipient opts out, no further messages will be sent unless they initiate new contact.
Message frequency: Message frequency varies based on appointment activity. Typical patients receive 1–3 messages per appointment interaction (confirmation, reminder, and/or follow-up).
Message and data rates: Standard message and data rates may apply depending on the recipient's mobile carrier and plan.
No PHI in messages: Axym does not include protected health information (PHI) in SMS messages. Messages are limited to appointment logistics (date, time, provider name, and links to manage the appointment).
Data sharing: We do not sell, rent, or share SMS opt-in data or phone numbers with third parties for marketing purposes. Phone numbers collected through our services are used solely for the transactional messaging purposes described above.

We retain call recordings, transcripts, and related data for the duration of our service agreement with the medical practice, plus a reasonable period thereafter for legal and operational purposes. Upon termination of service, practices may request deletion of their data.
